Terms of Service

Summary: You use inventory.co.ke to manage your own business records. You own your data. We provide the tool in good faith. You are responsible for the accuracy of your records. We are not your accountant, tax advisor, or auditor.

1. Acceptance of terms

By creating an account on inventory.co.ke, you confirm that you have read, understood, and agree to be bound by these Terms of Service and our Privacy Policy. If you do not agree, you must not use the service.

If you are using the service on behalf of a business, you confirm you have authority to bind that business to these terms.

The service is provided on a subscription basis following a 14-day free trial. We reserve the right to modify, suspend, or discontinue features with reasonable notice.

4.1 Trial period

New accounts receive a 14-day free trial with full access to all features. No payment is required to start a trial.

4.2 Subscription plans

After the trial, continued access requires an active subscription. Plans are duration-based (e.g. 30 days, 90 days, 1 year). Current pricing is listed at inventory.co.ke/#pricing and is subject to change with 14 days' notice.

4.3 Payment via M-Pesa

Payments are accepted via M-Pesa to Till Number 6217063. Upon payment, you must enter your M-Pesa transaction code in the platform to activate your subscription. Subscriptions are activated manually or via STK Push verification.

4.4 Refunds

Due to the nature of digital services, subscription payments are non-refundable once a subscription period has been activated. If you experience a technical issue preventing you from using a paid subscription, contact us within 7 days and we will investigate and offer a resolution at our discretion.

4.5 Grace period

Upon subscription expiry, a 3-day grace period is provided during which you can view existing records but cannot add new ones. After the grace period, access is restricted until a new subscription is activated. Your data is never deleted due to subscription expiry.

5. Your data and content

You own your data. All business records you enter — products, sales, customers, invoices, expenses — belong to you. We do not claim any ownership over your business data.

You grant us a limited licence to store, process, and display your data solely for the purpose of providing the service to you.

You are responsible for the accuracy of all data you enter. inventory.co.ke is a recording tool — the reports and figures it generates are only as accurate as the data you input.

You may export your data at any time by contacting us at hello@inventory.co.ke.

6. Acceptable use

You agree not to use inventory.co.ke to:

7. Staff accounts

As a vendor, you may create up to 5 staff (attendant) accounts. By creating a staff account, you:

Staff members do not have access to your financial reports, cost prices, profit margins, or subscription details.

8. Disclaimer of warranties

inventory.co.ke is provided "as is" and "as available". We do not warrant that:

We are a software tool, not a financial advisor, accountant, or auditor. You should verify important financial figures independently before making business decisions or submitting them to any authority.

9. Limitation of liability

To the maximum extent permitted by Kenyan law, inventory.co.ke shall not be liable for:

Our total liability to you for any claim shall not exceed the amount you paid for your current subscription period.

10. Tax and regulatory compliance

You are solely responsible for your own tax compliance, including but not limited to:

inventory.co.ke does not integrate with KRA's eTIMS or iTax systems. Reports generated on this platform are not official tax documents unless you have independently verified and filed them with KRA.

11. Termination

By you: You may close your account at any time by emailing hello@inventory.co.ke. Unused subscription days are non-refundable.

By us: We may suspend or terminate your account if you violate these terms, engage in fraudulent activity, or if we determine continued operation poses a risk to other users or the platform. We will provide notice where reasonably possible.

Upon termination, your personal data will be handled in accordance with our Privacy Policy.

12. Governing law and disputes

These Terms of Service are governed by the laws of Kenya. Any disputes arising from the use of inventory.co.ke shall be subject to the exclusive jurisdiction of the courts of Kenya.

We encourage you to contact us first at hello@inventory.co.ke to resolve any dispute informally before pursuing legal action.

13. Changes to these terms

We may update these terms from time to time. Material changes will be communicated by email at least 14 days before they take effect. Continued use of the service after changes take effect constitutes your acceptance of the updated terms.
